PIM software cost

What does PIM software cost? Pricing models, hidden costs and free PIM

The price on a PIM vendor's website is rarely what you end up paying. Here is how PIM pricing models work, which costs come on top, what free and open source PIM really costs and how to compare PIM software fairly.

Short answer

PIM software cost is more than the licence. You pay per user, per product, per channel, per order volume or a flat fee, plus implementation, data migration, connectors and internal hours. A free open source PIM has no licence fee, but hosting, updates, development and connectors are on you. So always compare the total cost over a few years.

How PIM software is priced

Search for "PIM software cost" and you rarely find one number. That is because vendors charge for very different things. What a PIM system is exactly is covered in what is a PIM system. This article is about the bill. There are roughly six pricing models, and vendors often combine two or three of them.

Pricing modelWhat you pay forWatch out for
Per userEvery account that works in the PIMGets expensive once purchasing, marketing and customer service all want access.
Per product or SKUThe number of items, often in tiersVariants sometimes count as separate SKUs, so one size range can push you into a higher tier.
Per channel or connectorEvery webshop, marketplace or feed you connectEach new sales channel raises the bill.
Per order volumeThe number of orders a month that run through the systemThe price grows with your sales, not with your catalogue.
Flat licenceA yearly amount per installation or environmentImplementation, hosting and maintenance usually come on top.
Open sourceNo licence for the base editionYou pay for hosting, updates, development and connectors yourself, in money or in hours.

None of these models is cheaper by definition. It depends on what grows in your business. A webshop with a small catalogue and many orders pays little per SKU but more per order. A wholesaler with tens of thousands of items and fewer orders is the other way round. So always calculate with your own figures: number of products including variants, number of users, number of channels and orders a month, today and in two years.

Ask every vendor what happens when you cross a limit. Does the system stop, do you pay a surcharge or are you moved to a more expensive plan automatically?

The full cost picture of a PIM

The licence or subscription is usually only part of the total cost. For every PIM system you consider, put these items side by side, one-off and per year:

Cost itemOne-off or recurringWhat drives it
Licence or subscriptionRecurringPricing model: users, SKUs, channels, orders or a flat fee
Implementation and setupOne-offData model, attributes, category tree, workflows
Data migrationOne-offNumber of sources, quality of today's data, cleaning up duplicates
ConnectorsBuilt once, maintained continuouslyNumber of webshops, marketplaces, suppliers and feeds
Hosting, updates and securityRecurringMainly for open source and self-hosted installations
Enrichment and AIRecurring, per useNumber of products and texts, the AI model you choose
Internal hoursBothWho manages and checks the data and creates new products

The items people tend to forget

  • Connectors. A PIM without a link to your webshop and marketplaces is just a separate database. Sometimes connectors are included, sometimes every connection needs its own licence or custom work.
  • Data migration. Your old data is rarely clean. Removing duplicates, filling missing EANs and grouping loose variants takes longer than the import itself.
  • Enrichment. Writing texts and attributes costs hours or, with AI, usage costs at an AI provider.
  • Internal hours. Someone has to run the PIM. At a wholesaler that quickly becomes a fixed task.

How to approach the implementation itself, step by step, is covered in PIM implementation.

Free and open source PIM: what does it really cost?

There is free PIM software you can use. In most cases it is a community or open source edition from a vendor that also sells paid versions. Two well-known examples:

  • Akeneo PIM Community Edition is free and open source according to Akeneo. You download, install, host and customise it yourself; if you would rather not, Akeneo sells a paid cloud version 1.
  • Pimcore offers a free Community Edition based on its open core. Free use comes with conditions, for example for companies with less than 5 million annual revenue; above that a paid edition is required 3. Its paid editions are billed per year, with unlimited products and users and a limit on the number of production instances 2.

"Free" here means: no licence fee. You still pay for everything else, just not to the vendor:

  • Hosting: a server you rent and manage yourself, with backups and monitoring.
  • Updates and security: installing and testing new versions, also when something breaks.
  • Development: a developer or agency to set up the data model and make changes.
  • Connectors: the link to your webshop, marketplaces and suppliers is built or bought separately.

Open source PIM is a good choice when you have your own developers or a regular agency and genuinely need your own data model. For a webshop without a technical team, the hours often cost more than the licence you save.

Worked example: webshop vs wholesaler

Amounts differ per vendor and per agency, so the table below shows time and cost items instead of prices. They are example estimates to calculate with, not a quote. Fill in your own hourly rate or your agency's.

Cost itemHome goods webshopBike parts wholesaler
Starting point800 products, 1 supplier, own webshop and a Google Shopping feed20,000 items with variants, 4 suppliers, webshop, 2 marketplaces and a B2B price list
Setup (categories, attributes, price rules)1 to 2 days2 to 4 weeks
Data migration and clean-up1 day, mainly checking EANs and imagesSeveral weeks: duplicates, grouping variants, mapping categories
Connectors2 channelsSupplier feeds plus 3 or more channels, each with its own category and attribute rules
EnrichmentTexts for 800 products once, then new productsOngoing, because suppliers send new items every week
Internal hours a week after go-liveA few hoursOne or more people with product data as a fixed task
Biggest cost riskChoosing a system that is too bigUnderestimating connectors and data quality

What stands out: for the webshop the subscription is the biggest item and setup is done in a few days. Choose a PIM that talks to your webshop and feeds straight away, so nobody has to build a connector. For the wholesaler the real cost sits in data migration, connectors and the hours that come back every week. There, a system that reads supplier data automatically and keeps your own changes at the next import pays off.

Count the time you spend today on double entry, updating stock by hand and fixing errors as internal hours too. That is the saving you set the cost against.

What does the StoreLinkr PIM cost?

StoreLinkr charges by order volume. Subscriptions start at €69 a month for the Pico plan, up to 75 orders a month. The price grows with the number of orders a month, not with the number of products or users. You can try it first; all plans are on the pricing page.

  • Connectors included. The connections to webshops, marketplaces, product feeds and suppliers are part of the subscription. See which ones exist under integrations.
  • No hosting or updates of your own. StoreLinkr runs as an online service, so servers and updates are not your concern.
  • AI with your own key. For AI product enrichment you connect your own OpenAI, Claude or Gemini key. You pay those usage costs directly to the AI provider, with a daily token limit as a brake.
  • Extra stock locations are a paid add-on.

To be fair: StoreLinkr is a PIM plus integration platform for webshops, wholesalers and retailers, not an enterprise PIM. Translated product content per language, separate descriptions per channel, a stand-alone DAM media library and roles per user are not included. If you need those, look at the systems in best PIM software.

Checklist: comparing PIM quotes fairly

Hold every quote against these questions. That way you compare the total cost instead of only the monthly fee:

  1. What does the pricing model charge for, and what does it cost when your catalogue, team or order volume doubles?
  2. Which connectors are included, and what does each extra webshop or marketplace cost?
  3. Who does the implementation, how many hours are budgeted and what is out of scope?
  4. Who hosts and updates the system, and what does that cost a year?
  5. How does enrichment work: by hand, with built-in AI at a surcharge or with your own AI key?
  6. How many internal hours a week do you need after go-live?
  7. How do you get out again: can you take your data with you and what notice period applies?

Add up the answers over three years, one-off plus recurring. Only then do you see which PIM software is really the cheapest for your situation. More about StoreLinkr as a PIM is on the PIM system page.

Frequently asked questions

There is no honest average, because vendors charge for different things: users, products, channels, orders or a flat licence. Calculate with your own numbers and include implementation, connectors, hosting and internal hours.

Yes, there are free community and open source editions, such as Akeneo PIM Community Edition and, under conditions, the Pimcore Community Edition. You pay no licence fee, but you do pay for hosting, updates, development and connectors.

Only if you can supply the hours for hosting, updates, development and connectors cheaply yourself, for example with your own developers. Without a technical team those hours often cost more than a subscription.

Connectors to the webshop and marketplaces, cleaning up old data during migration, enriching texts and the internal hours to keep the PIM up to date after go-live.

From €69 a month for the Pico plan, up to 75 orders a month. The price grows with the number of orders a month and connectors are included. All plans are on the pricing page.

You use your own OpenAI, Claude or Gemini key and pay the usage costs directly to the AI provider. A daily token limit keeps those costs in check.
